Comments
When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.
An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.
Media
If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.
Cookies
If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.
If you visit our login page, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.
When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.
If you edit or publish an article, an additional cookie will be saved in your browser. This cookie includes no personal data and simply indicates the post ID of the article you just edited. It expires after 1 day.

Google API Services — User Data Policy
Who this section applies to: This section applies exclusively to White Sails staff members who connect their Google Account to our booking system via the WordPress admin dashboard. It does not apply to general visitors or clients booking through our website.
Our application integrates with Google APIs in compliance with the Google API Services User Data Policy. The following disclosures apply to how we access, use, store, and share data obtained through Google APIs.
Application: Whitesails SG booking integration, powered by the BookingPress WordPress plugin.
Purpose: When a client books an appointment through our website, the application automatically creates a corresponding event in the relevant staff member’s Google Calendar. This ensures staff are notified of new bookings in real time and can manage their availability without double-bookings.
1. Scopes Requested
Our application requests the following Google API scopes on behalf of authorized staff members. These are the exact scopes requested at runtime — no others are used.

2. Data Accessed
Our application accesses the following Google user data:
- Google Calendar list (read-only): The names, descriptions, and time zone settings of calendars the staff member is subscribed to — used solely to identify the correct calendar for booking sync.
- Google Calendar events (read/write): Access to create, read, update, and delete calendar events on behalf of authorized staff members, solely for the purpose of syncing booking appointments and checking availability to prevent conflicts.
- Google Account Identity (OAuth): Basic profile information (name and email address) used to authenticate and authorize staff accounts during the OAuth consent flow.
3. Data Usage
Google user data accessed by our application is used exclusively to:
- Identify the correct staff Google Calendar to sync bookings into.
- Create, update, or cancel calendar events when a client booking is confirmed, modified, or cancelled through BookingPress.
- Read existing calendar events to check staff availability and prevent double-bookings.
- Authenticate the staff member’s identity via Google Sign-In (OAuth 2.0) to authorize calendar access.
We do not use Google user data for advertising, profiling, or any purpose unrelated to appointment management.
4. Data Sharing
We do not sell, rent, or share Google user data with any third parties. Google user data accessed through our integration is never transferred to external services, analytics platforms, CRMs, or marketing tools. It is used solely within the scope of the booking-to-calendar sync functionality described above.
5. Data Storage & Protection
We take the security of Google user data seriously. The following protections are in place:
- Minimal data retention: Our application does not persistently store Google Calendar event data or calendar list data on our own servers. All Google API interactions are executed in real time — events are written directly to the staff member’s Google Calendar and no calendar content is retained on our end afterward.
- Encrypted OAuth token storage: OAuth access tokens and refresh tokens required for authorized API access are stored securely by the BookingPress plugin within WordPress, protected by standard WordPress security practices including restricted database access and encryption.
- HTTPS transmission: All data transmitted between our website and Google’s APIs is encrypted in transit using HTTPS/TLS. No Google user data is ever transmitted over unencrypted connections.
- Access controls: OAuth tokens and Google account connections are accessible only to WordPress administrators. Staff members manage their own Google account connections and can revoke access at any time.
- WordPress security hardening: Our WordPress installation is maintained with current security updates, restricted file permissions, and protections against unauthorized access to the database where OAuth tokens are stored.
- Principle of least privilege: We request only the minimum Google API scopes necessary to perform booking synchronization — specifically
calendar.calendarlist.readonlyandcalendar.events. No broader Google API permissions are requested or used.
6. Data Retention & Deletion
Because we do not store Google Calendar event data or calendar list data on our own servers, there is no such Google user data to retain or delete on our end beyond the duration of an active OAuth session.
OAuth tokens are retained in WordPress solely to maintain the active calendar sync connection for each staff member. These tokens are automatically invalidated and removed when a staff member disconnects their Google account from the BookingPress integration.
Staff members may revoke our application’s access to their Google Calendar at any time by visiting their Google Account permissions page at https://myaccount.google.com/permissions and removing access for the Whitesails SG application. Upon revocation, the integration will immediately cease to function for that account and the associated OAuth tokens will become invalid.

Who We Share Your Data With
If you request a password reset, your IP address will be included in the reset email. We do not sell or share personal data with third parties for marketing purposes.
How Long We Retain Your Data
If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.
For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.
What Rights You Have Over Your Data
If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.
Where Your Data Is Sent
Visitor comments may be checked through an automated spam detection service. Booking data is processed by BookingPress and, where a staff member has authorized calendar sync, is sent directly to Google Calendar via the Google Calendar API. No booking data is sent to any other external service.
